These terms apply to the total retreat booking, including the programme, food and accommodation where they are included in the price. Deadlines are measured in full calendar days before the retreat’s local start time. Online registration remains available until the retreat ends, subject to availability. Any more favourable rights provided by applicable consumer law remain unaffected.

• Booking confirmationYour place is confirmed after full payment and completion of the required registration steps. Amounts paid directly to a venue or another provider remain subject to that provider’s own terms.
• 30 days or moreCancel at least 30 days before the retreat begins to receive a refund of the amount paid, less a USD 75 booking administration fee.
• 15–29 daysCancel 15 to 29 days before the retreat begins to receive a 50% refund. No additional administration fee is deducted from this refund.
• 14 days or fewerCancellations 14 days or fewer before the retreat begins are not eligible for a cash refund. With at least seven full calendar days’ notice, the one-time future-retreat move below remains available. With less than seven days’ notice, no refund or credit is available.
• Move to a future retreatWith at least seven full calendar days’ notice, you may move the booking once to another suitable Andrew Barnes residential retreat beginning within 12 months. Your credit is the amount paid less a USD 75 booking administration fee and is subject to availability and suitability. If the new retreat costs more, the difference is payable; if it costs less, the balance remains available until the original 12-month expiry. A moved booking is not refundable and cannot be moved again.
• Transfer your placeYou may transfer your place to another suitable and eligible participant at no extra cost by notifying us at least seven full calendar days before the retreat begins. The replacement participant must complete all required forms, acknowledgements and prerequisites.
• No-shows and leaving earlyNo refund or credit is available for non-attendance, late arrival, leaving after the retreat has begun or any unused programme, accommodation or meals. Retreat food and accommodation are committed in advance and are not refunded separately.
• Exceptional circumstancesSerious and unavoidable circumstances may be considered individually, and supporting information may be requested. This does not guarantee a refund or credit.
• Cancellation by the organisersIf the organisers cancel the retreat, postpone it or make a material change that you do not accept, you may choose a full refund of the amount paid to us or move the full amount to another retreat. The administration fee does not apply. Independently booked travel, visas, insurance and other third-party costs are not reimbursed, so appropriate travel insurance is recommended.
• Refund processingApproved refunds are returned to the original payment method and in the original payment currency within 14 calendar days of approval.
